Managing Tenant Repair Requests

Managing tenant repair requests is one of the most important, yet difficult, responsibilities for any landlord. What is the best way to capture, process, and resolve repair requests in a timely and affordable way? 

This question often causes confusion and conflict for landlords who don’t implement a clearly defined strategy. Use these tips to develop an effective system for your own tenants. Doing so will reduce your stress and improve customer satisfaction!

Outline Maintenance Request Process in Lease Agreement

The lease agreement signed by your tenants must include any and all information pertinent to their time spent living in one of your rental properties. This includes all directives for submitting a repair or maintenance request.

Some landlords prefer to use a formal online system that allows residents to input their information and submit automatically. This works best if you use your existing property investment website. Other landlords prefer paper forms that are turned in by hand or emails sent to a specific email address. Whichever method you choose, just be consistent.

Hire Help

If you manage multiple properties, you may not be able to handle all repair requests by yourself. Rather than becoming overwhelmed by maintenance requests, consider hiring outside help to resolve requests efficiently. 

One option is to hire a property manager who handles all maintenance issues. Tenants can contact the property manager directly for all repair requests if you prefer, since this would minimize your involvement and free up your time to handle other important matters.

If you don’t want to commit to a full time property manager, you could contract out to a handyman, electrician, and plumber to handle specific issues when they arise. Just be sure you notate who is available on evenings and weekends. 

On the other hand, you can opt to handle repairs yourself. If you choose to go this route, ask yourself the following questions first:

  • Can you consistently commit enough time and energy to handle all repair requests quickly?
  • Do you have knowledge, training, or skills as a handyman, electrician, or plumber to apply when difficult situations arise?
